Job Title: Japanese Bilingual Executive Assistant to CEO Location: Irvine, CA FLSA Classification: Non-Exempt, Full-time Department: Executive Management Reports To: President/Chief Executive Officer Language Requirement: Business Level in Japanese and English Requirement: Able to attend 25% or more travels with CEO (domestic) OVERVIEW Under the general direction of the President/CEO, Executive Assistant perform high-level executive tasks. This position handles sensitive and confidential information of the business operation and is responsible for performing a variety of duties including attending and carrying out tasks assigned during confidential meetings. This position is also responsible for running high-level reports, drafting correspondence, conducting research and compiling data. S/he must be detail oriented, good with numbers and have advanced language skills in both Japanese and English. This position requires the exercise of discretion and independent judgement in carrying out all assigned duties and in keeping the President informed and up-to-date on all high-level projects and important matters. ESSENTIAL JOB DUTIES AND FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO: (Not Official: Please ask for more details during your interview): Runs high-level reports, drafts correspondence, conducts research and compiling data. Manages the store development and contributes to the company success by providing planning, project management and financial oversight in new store or renovation construction projects while maintaining the highest standards of excellence in delivering the companys experience in our stores. Manages the construction process so that projects are completed on time and under budget. Participates in high-level, sensitive and confidential meetings with the President/CEO, managing the President/CEOs extremely active calendar of appointments by planning and scheduling meetings, conferences, teleconferences, and travel. Maintains good communication with the President/CEO and other executive management, store management, co-workers, vendors and outside contacts. Complies and maintains confidentiality of all company/executive transactions or meetings. Analyzes and takes charges in producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves the President/CEOs time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; Uses independent discretion to determine matters of importance that require the President/CEOs time and attention. Independently handles matters within the scope of her/his delegated authority and keeps the President/CEO up-to-date and informed in the process. Maintains customer confidence and protects the Companys operations by keeping information confidential. Prioritizes, and follows up on incoming issues and concerns addressed to the President/CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Solves problems that affect the President/CEOs office efficiency, service and productivity. Education/Experience: 4-year college degree required; 5-7 years of administrative or translating/interpreting experience required, in a retail or corporate establishment preferred. Experience in a similar or comparable work environment, strong work ethic supported by a pleasant and positive attitude of can do success. Above average working knowledge of Word, Excel, PowerPoint and Outlook required.
